Appointments and Cancellations Policy

All treatments and procedures are carried out to the highest standard and comply with medical standards and guidelines. However very rarely, outcomes do not meet patients expectations. There are no guarantee to the outcome, it is at the clients own risk that these procedures are performed. We do not offer refunds. All treatments are available to clients over 18 years. Results can vary on an individual basis. 

• Cancellation Notice Requirement: In the event you are unable to attend an appointment, please notify us promptly by telephone on 07940 389 073, providing at least 24 hours' notice prior to the scheduled time. We will endeavour to accommodate a rescheduling where practicable.
   
• Consequences of Late or No Notice: Failure to provide the requisite 24 hours' notice will result in forfeiture of the session (if pre-paid as part of a package or single treatment), loss of any deposit, and liability for the full session fee. No refunds will be issued for forfeited sessions.
   
• Sun Exposure and Laser Treatments: Should you have recent sun exposure, we require notification at least 24 hours in advance for suitability assessment. If the treatment cannot be performed safely on the day, the session will be forfeited without refund.
   
• Punctuality Requirement: Clients must arrive at least 15 minutes prior to the appointment to complete necessary consultation and consent forms. Late arrival may necessitate a reduction in treatment duration or cancellation of the appointment.
   
• Supervision of Minors: We require that any children under the age of 16 are accompanied by a responsible adult throughout the appointment. Failure to provide such supervision may lead to cancellation and forfeiture of the session or deposit.
   
• Non-Refundability: Once a treatment session has commenced or has been paid in full, it is non-refundable, irrespective of whether it is fully completed.
   
• Value Packages, Deals, and Offers: These are non-refundable except as mandated by applicable law (for example, a full refund within the 14-day cooling-off period for distance contracts under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013). By proceeding with booking and payment, you acknowledge and expressly waive this right where services commence prior to expiry of the period. Packages are valid for 12 months from the date of purchase; any unused sessions expire thereafter without refund or credit. Packages may not be transferred to third parties without our prior written consent.

• Credit Notes:   
  • Issued at our discretion for cancelled or deferred treatments/packages. Credit notes are non-refundable (no cash value, partial or full) and valid for 6 months from issuance to book alternative treatment dates, subject to availability.
  • Previously issued credit notes remain subject to their original terms and are non-refundable unless required by law (e.g., faulty services).
  • No further credit notes will be issued for future cancellations/deferrals unless specified in writing at booking.
  • Verbal credit notes, if agreed, are confirmed in writing (e.g., email) and subject to the same 6-month expiry.
  • Statutory refund rights (e.g., for defective treatments or cooling-off periods) are unaffected.

• Refunds:  If a patient changes their mind about proceeding with treatment, any deposit or payment paid will be held on account for future use if more than 7 days’ notice is given of cancellation. Appointments may be rescheduled without loss (deposit will be held on account for future use) if more than 72 hours’ notice of the scheduled appointment is given. Cancellation (or ‘no show’) within 72 hours of the scheduled appointment time will result in the loss of deposit.  
   
• Rebooking Following Non-Attendance: Sessions missed without due notice are forfeited. Any subsequent rebooking attempt will incur a £30.00 administration fee, applicable until the package or course is exhausted.  We reserve the right to ask patients to prepay for their treatments and to charge 50% of the full price for treatments that are cancelled within 72 hours of the scheduled appointment time.
   

This policy does not prejudice your statutory rights under consumer protection legislation. We reserve the right to update this policy with reasonable notice; continued use constitutes acceptance of changes. Any disputes may be addressed through mediation or the small claims procedure in the County Court.

• To secure an appointment with Rosa B Aesthetics a booking fee of GBP30.00 is required. 

• Booking fee will be deducted from the treatment price if the customer is deemed suitable for treatment.  

• Rosa B Aesthetics can use booking fee for payment towards any treatment. The booking fee will count towards the total cost of the treatment, and you must pay the outstanding balance before treatment commences. 

• If a booked appointment is requested by the client to be cancelled/no show any booking fee or full payment paid will not be refunded. 

• Full payment will be required if a client cancels / fails to show. 

• Any booking fees not used within 2 weeks after the consultation appointment will be forfeited. 

• Once a consultation has been conducted by Rosa B Aesthetics a booking fee of £30.00 is applicable and will be non-refundable/transferable if a treatment is not booked within 2 weeks of the the consultation.

• By purchasing a single treatment or a course of treatments you are entering into a contract with Rosa B Aesthetics. ​ All treatments purchased must be paid for in full, in advance of the first treatment. 

• All treatments purchased as a single session or a course (involving several treatment dates) will require 50% of the treatment cost being paid prior to booking the first treatment of the single session or course. 

• All courses of treatments must be used within 12 months of the initial purchase. The date of purchase is the date of the initial deposit. Where there is a stated clinical need to deliver a package over a longer period than 12 months, the package must be delivered within 18 months. 

• You must use all single treatments purchased within 3 months of the date of purchase. The date of purchase is the date of the initial deposit.   

• If you are advised not to continue with your course of treatments for any medical reason, please obtain a medical report from your doctor. If you have used any sessions, this will be deducted from your refund value as a pay-as-you-go cost. Any refund agreed is calculated by subtracting the total list price of all treatments already taken, plus any charged for non-attendance, from the full price of the course of treatment, with the difference returned to you. You must understand that Rosa B Aesthetics cannot be held responsible for any unknown side effects that may occur due to having any treatments.

• Failure to give 48 hours notice will result in the loss of that treatment should it have been fully paid for as part of a package or single treatment or the loss of any deposit paid. This applies to all treatments including course sessions. 

• Clients who are late, fail to attend or no-show for a procedure/consultation and have not given us 48 hours’ notice, will lose their treatment session and forfeit their deposit.

• If a re-booking is required, a fee of GBP£30.00 will be due before a new booking can be scheduled. This fee will be applicable until the course or package has been utilised in full.  

• Failure to follow these guidelines may result in the cancellation of your appointment, reduced treatment time, or additional fees being charged.  

• All skincare products supplied on site are non-refundable once purchased and taken off-site, opened, and used 

• All treatment courses, value packages, deals or offers must be taken within 12 months of the date of purchase; any treatments left untaken after 12 months will be forfeited.  

• For the convenience of other clients and for safety reasons, we kindly request that you do not bring children with you for your treatment. Any client who requires treatment and brings a child with them must also be accompanied by another adult to chaperone the child whilst the client is being treated. Failure to bring an accompanying adult will result in the treatment being cancelled and loss of the session and/or treatment.   

• Treatment is non-refundable once undertaken.

• Value packages, deals or offers are non-refundable.

•  Any refunds are subject to processing fees (15% administration fees) - to cover  due on the sums that may be involved.

• Clients who have purchased a single or course of treatment(s) but fail to attend their appointment(s) without giving the 48 hours’ notice will NOT be entitled to a refund. The session will be forfeited. If you wish to rebook, you will be charged a rebooking fee of GBP£30.00. Subsequent bookings will still be applicable to this fee until the course or package has been utilised or paid in full.

• Where a course of treatment is to be paid for using a Finance scheme, the finance company will request the funds upon completion of the first treatment. 

• Not to be used in conjunction with any other offer or promotion.

• Vouchers and coupons are valid for new customers ONLY.

• Only one voucher or coupon allowed per person.

• Voucher or coupon should be surrendered upon purchase of the treatment.

• Voucher or coupon is non-transferrable and cannot be exchanged for money.

​

• Offers can only be used on treatments.

​

• Any offer of a voucher, coupon or discount  is subject to patient suitability for treatment.
